Consider a workable arrangement
Check the invoice number, customer name, due date, credits, part payments and current balance. Correct genuine errors before escalating.
Separate an overlooked invoice from a dispute about price, quality, scope or delivery. The next request should respond to the real reason payment has not been made.
State the invoice, amount, original due date and a practical response date. Give the customer a straightforward way to report an error or dispute.
If the customer accepts the debt but cannot pay immediately, record any instalment proposal in writing with amounts, dates and what happens if a payment is missed.
Keep the demand factual and proportionate. Identify the agreement, supply, amount due, earlier requests, response date and proposed next step.
Review mediation, collection, tribunal, small-claims, court or professional-advice options in the relevant jurisdiction, including cost, time and enforceability.
