Quote or summarise the point fairly before giving your response.
Cite the exact record
Link the message, invoice, photograph, report or contract relevant to that point.
Acknowledge uncertainty
If the evidence does not resolve a point, say so rather than overstating the record.
Finish with the action requested
Ask for correction, review, payment, inspection, decision or another practical next step.
